Configuring KBilling
Everything lives behind System Settings in the admin area. This page walks through the settings that matter on day one.
Company details
Under System Settings → General, set your company name, logo, email address, and portal URL. These show up on invoices, emails, and the client area header.
Payment gateways
Go to System Settings → Payments and activate what you need:
- Stripe — paste your publishable and secret keys. 3D Secure is handled for you.
- PayPal — enter your API credentials or connect Express Checkout.
- Bank Transfer — add your bank details and instructions; invoices stay unpaid until you mark them paid.
Drag gateways to change the order clients see at checkout. Test each one with a small real transaction before going live.
Server modules
Under System Settings → Servers, add a server group and pick a module:
- cPanel/WHM, Plesk, DirectAdmin — shared hosting accounts
- Virtualizor, Proxmox, Hetzner Cloud — VPS and cloud instances
Each module asks for an API key or root credentials. Use a limited API user where the panel allows it, and always create a server group — products point at groups, not individual servers, so you can add capacity later without editing products.
Products and pricing
Create a product group (for example, "Shared Hosting"), then add products with a price, billing cycle, and the server group from the last step. On the Module Settings tab of each product, choose the package the module should create when an order is paid.
Set welcome emails per product — KBilling sends them automatically after provisioning.
Taxes and EU VAT
Under System Settings → Taxes, enable tax support and add rates per country. For the EU:
- Enable VIES validation to check business VAT numbers.
- Enable reverse charge so valid B2B EU customers pay 0% with a note on the invoice.
- Tax rules apply by billing country automatically; export a VAT report any time from Reports → Tax.
In System Settings → Email, switch the mailer to SMTP and enter your provider's settings. Templates live under System Settings → Email Templates — every message supports variables like {$client.name} and {$invoice.total}. Send yourself a test email from the same page.
Staff accounts
Add teammates under System Settings → Staff. Roles control what each person can do:
- Full Administrator — everything
- Support — tickets and client lookups, no billing changes
- Read-only — view access for auditors
All staff logins require two-factor authentication. There's no way to turn that off, which is exactly how it should be.
